Tax and Accounting Manager

Why this role exists
We need someone to oversee these items:
- You are the first person to review a return after a preparer has done it. A second reviewer reads it after you.
- Reviewing is the step clients feel. With you here, returns keep moving whoever is away.
- You teach preparers by what you send back. Say what is wrong and how to fix it, and the same fault stops coming back.
Logistics
- Hours: Full time, which is eight hours of work and one hour for lunch. You choose one of three shifts.
- Indian time, in the morning: 9:00 AM to 6:00 PM in India, which is 10:30 PM to 7:30 AM Austin, Texas time. People on this shift do not talk to clients.
- Indian time, ending at 1:00 PM Austin, Texas time: 2:30 PM to 11:30 PM in India, which is 4:00 AM to 1:00 PM Austin, Texas time.
- Until 4:00 PM Austin, Texas time: 5:30 PM to 2:30 AM in India, which is 7:00 AM to 4:00 PM Austin, Texas time.
- Company stage: Small, growing firm with a lean leadership bench.
- Start: As soon as the contract is signed.
- Location: Remote.
- Reports to: the Head of Delivery.

Where this sits
The firm already has a Tax and Accounting Manager. This role is either beside her or one step under her, and which one is decided after you have been through the assessment rather than written here.
- Beside her. You review returns on your own clients, you report to the Interim CEO the same way she does, and neither of you manages the other.
- Under her. You review, she checks your reviews while you are new, and you report to her.
- Over her. The India review team reports to you, and so does she.
Which of the three it is comes out of the assessment and the interviews, not out of a title you held somewhere else.
Work hours
- Full time is 7 am to 4 pm Austin time.
- That's 2 pm to 11 pm in Warsaw, Belgrade, and Skopje.
- In India that is 5:30 pm to 2:30 am in summer, and 6:30 pm to 3:30 am in winter.
- Monday through Friday, year round.
- Returns are handed over and questions answered inside those hours, which is why they are the same for everybody.
Role summary
You are the first person to review a return after a preparer has done it. A second reviewer reads it after you and signs it. You review what preparers have done, and you send back what is not right with what to fix and how to fix it. You do not wait to be asked whether a return is ready.
What you own
- First review on returns: 1040, 1120, 1120S and 1065.
- Telling a preparer what is wrong, in words they can act on, the first time.
- A told date on every return you hold, so no client is waiting without one.
- Preparing returns yourself when the line needs it. This is not a role that only reviews.
What this role does not do
- Reviewing your own work. Somebody else reviews what you prepare.
- Managing people on day one.
- Selling, pricing, or agreeing a fee with a client.
- Bookkeeping month end close, unless a return you hold is waiting on it.
How your results are measured
- Seven returns invoiced a week, counted per person.
- A told date on every open return you hold.
- Chargeable hours at 75 percent of your working hours.
- Returns sent back twice for the same fault, which should trend to none.
Full time here
You are passionate about your work. Full time here means 8 to 10 hours a day, because you want to see things through to finished.

Who should not apply

- Wait for somebody else to pick a thing up, or need the work handed to you tidy and already decided.
- Report a problem and stop there.
- Try somebody once, get no answer, and give up.
- Go quiet when something needs raising, or find telling the truth consistently hard.
- Read hidden meanings and office politics instead of the plain words.
- Overstate what you can do, or are different before you are hired and after.
- Have changed jobs every year or two, or want short projects and a work whenever schedule.
Pay
Pay starts at $2,000 USD a month and may be higher with experience.

How we work together
- We work at the same hours most of the time, and some of the work is done asynchronously. You will not always have somebody online to ask, so you write things down and you keep going.
- Written, asynchronous communication is modeled as part of the company's culture. Things are read in writing before a live call is requested, and writing is used to prevent the need for calls.
- When you say you will do something, say what day it will be done.
- If you are going to miss that day, say so before the day passes.
- If you need something from somebody else, ask them yourself.
Software we use
- Canopy, for the client record, the review tasks, and time.
- ProConnect, where new returns are prepared and reviewed.
- UltraTax, for historical records only. No new return is done in it.
- AI, which the firm uses heavily and will show you how we use.
- A hosted remote desktop, which is how you reach the firm's systems.
- Google Workspace.
- Our internal site, for the SOPs.
- Zoom phone.
What we need from you
- Five years preparing US books and tax returns.
- Expertise across 1040, 1120, 1120S, and 1065.
- Expertise with companies doing $0.5M to $5M in revenue. That is the size we serve.
- Willingness to work inside our software rather than your own.
- You have managed people before. You were responsible for somebody else's work, you approved their vacation days, and you were fully accountable when that person did not finish their work. That is what it takes to be a manager here.
If you have not been fully accountable for a person before, apply anyway. You can be hired here as a senior, and we will train you to be a manager.
