SMB Numbers is an accounting and tax firm. We serve dental practices in the United States. We are small, women led, and we are past the turnaround and into the growth.

This role owns how new clients find us and decide to talk to us.

Why this role exists

The firm has a funnel and nobody owns it.

  1. We send physical postcards to dental practices. Postcards, not cold emails, because they convert better.
  2. Each postcard has a QR code that takes the practice owner to a scorecard about their own business.
  3. They see their score before they give us an email address. Value first.
  4. From there they can book a free call.
  5. The call leads to a $1,500 personalized analysis of their numbers.
  6. That analysis leads to a monthly accounting and tax package worth up to $3,000 a month.

Every piece of that exists. We need somebody to own this funnel, run it, improve it, and build other channels that bring in leads.

What you own

  1. The whole funnel above, end to end, from the postcard to the signed monthly client.
  2. The numbers behind it. How many postcards, how many scans, how many scorecards finished, how many calls booked, how many analyses sold, how many convert to monthly.
  3. Our search presence, so a dentist looking for an accountant finds us.
  4. Our content. The blog is written by AI today and it is basic. Your job is to make it worth reading.

Projects you would own

AI Search Visibility

What the project asks for:

  1. Measurement, before anything else. Build a set of 50 to 100 questions a real prospect would ask, in their words. Run the set across each assistant on a fixed schedule, and log whether we were named, whether we were cited with a link, and who was named instead of us.
  2. Answer shaped content. Pages built to be quoted. The question as a person phrases it, the direct answer in the first 50 words, then the numbers, thresholds, dates and costs that make the answer worth citing. Twenty pages that answer a question completely beat two hundred that skim.
  3. Citations that are not on our own site. Roundups, review platforms, industry directories, press and podcast mentions, and question threads where the answer is genuinely useful. Bring a plan for earning these. Do not bring a list of sites you can pay.
  4. Technical access for AI crawlers. Decide and document our position on the assistants' crawlers: who we let in, what they can reach, and why. Keep the site fast and keep the words in the page rather than trapped behind JavaScript.
  5. Classic organic search. Google's AI answers are still assembled largely from pages that rank, so the traditional work still pays. It pays through a new door.

The number this role is judged on

Four new recurring clients a month.

Working backwards at our current conversion, that needs about 16 sales of the $1,500 analysis a month. If your own math says something different, tell us. We would rather be corrected than agreed with.

Strategy and hands on, both

This is not a role where you direct other people. You will write the copy, build the pages, run the campaigns, and read the numbers yourself.

We keep marketing in house. We have used agencies and outside vendors and we were not happy with the quality or the cost. We are not rebuilding a creative department either. Small, direct, measurable.

You will use AI heavily. Everyone here does.

Hours

  1. Part time to start, a minimum of 20 hours a week.
  2. Full time within one to three months, and that is the plan rather than a maybe.
  3. Our clients are in the United States, so some of your hours overlap Austin, Texas time.

This is not the role for you if you:

  1. Wait for somebody else to pick a thing up, or need the work handed to you tidy and already decided.
  2. Report a problem and stop there.
  3. Try somebody once, get no answer, and give up.
  4. Go quiet when something needs raising, or find telling the truth consistently hard.
  5. Read hidden meanings and office politics instead of the plain words.
  6. Overstate what you can do, or are different before you are hired and after.
  7. Have changed jobs every year or two, or want short projects and a work whenever schedule.

How we communicate

We are low context. That means we say what we mean and we do not expect you to read between lines. If something is wrong, we say so early and plainly, and we expect the same back.

We are low hierarchy and low ego. Nobody here protects a title.

What this role does not do

  1. No client accounting, bookkeeping, or tax work.
  2. No managing a team. You are the marketing function.
  3. No spending on agencies without agreement.
  4. No decisions about what a client is charged.
